Power to E-forms at Hydro One Hand filled timesheets will be processed in a new system at one of Canada’s power suppliers, Hydro One. Kovatec has designed a complete data capture, data recognition and document management system that will allow the customer to process their daily timesheets in a more efficient and cost effective manner. The time sheets are either faxed using a dedicated fax number or couriered to the department for scanning. The system captures the time sheets and the data is collected from the images by Cardiff. The data is validated and passed to both the Payroll system for cheque processing and the Document Management system for future verification and reference. "The system is very flexible and easy to maintain. Although a large number of employees already use an on line system for timesheet entry, linesmen and remote workers have no access to computers. Hand written, often dirty timesheets are a challenge for any data capture system, that is why we put the emphasis on the design at the verification stage to help the data verification clerks define, locate, and correct the errors quickly and efficiently. We are also discussing different tools that can be used by the linesmen to fill in the time sheets, says John Van Essen, President of Kovatec Inc. : "All scanned documents and corresponding data are stored in a Saperion document management system. Saperion is a European product installed at thousands of customers worldwide. It's flexibility and scalability will allow the customer to expand their document management initiative to other projects in the near future. "A powerful system", Johanne Dodon -Kovatec's systems engineer- says, referring to the customer's core business,"we have put a lot of energy into it".
